1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • names
  • email addresses
  • usernames
  • contact or authentication data
  • profile photos
  • user-uploaded files and data (google sheets, parquet files and urls), which may include personal information about other people
  • workspace text the user writes (collection names and descriptions, view and chart titles, api key labels)
  • public profile on/off setting

Sensitive Information. We do not process sensitive information.

Payment Data. If you choose to make purchases, the data needed to process your payment, such as your card number and security code, is collected, handled and stored by Paddle, not by us. You may find their privacy notice link(s) here: https://www.paddle.com/legal/privacy.

Payments are processed by Paddle, which acts as our Merchant of Record and reseller. Paddle collects your payment card details, billing address and other payment information directly through its secure checkout, and we never receive or store your full card number. We receive from Paddle your subscription and transaction details (such as plan, amount, currency, status, and a payment method summary like card brand, last four digits and expiry date) so we can manage your subscription. You can update your payment method or cancel your subscription through Paddle's customer portal.

Google Sign-In Data. You sign in to Hipsift with your Google account. When you do, we receive certain profile information about you from Google, as described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services and to diagnose and fix problems. We do not use analytics or advertising tools.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:

  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
  • Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
  • Location Data. Our hosting provider, Cloudflare, derives your approximate location (such as your country, region or city) from your IP address when you use the Services, and this may be recorded in our server logs. We don't collect your precise location, and we never ask your device for its location.

Google API

Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Information collected from other sources

In Short: We receive limited information about you from Google when you sign in, and from our payment processor, Paddle, when you subscribe.

We receive personal information about you from these sources only:

  • Google sign-in. When you sign in with Google, Google shares your name, email address, Google account ID and profile picture with us, as shown on Google's consent screen. We use them to create and manage your account.
  • Paddle. When you subscribe to Basic, Paddle, our reseller and Merchant of Record, sends us your subscription and transaction details (such as plan, amount, currency and status) and a payment method summary (such as card brand, last four digits and expiry date). Paddle collects your full payment details directly; we never receive your full card number.

We do not buy information about you, and we do not obtain information from marketing partners, data providers or social media platforms.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process the personal information for the following purposes listed below. We may also process your information for other purposes only with your prior explicit consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order. (Retention period: For as long as your account is active, and up to 30 days after you ask us to close it. Sign-in sessions expire after 30 days of inactivity.)
  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service. (Retention period: Until you delete the content or your account is closed, after which it is deleted within 30 days. Google access tokens are deleted as soon as you disconnect a Google account; the connected account's email address and Google account ID stay with your account, so you can reconnect it, until your account is closed.)
  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service. (Retention period: Up to 2 years from our last contact with you.)
  • To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments and refunds made through the Services. (Retention period: For the duration of your subscription, and up to 7 years afterward to meet our tax and accounting obligations.)
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention. (Retention period: Server and security logs are kept for up to 90 days. Security records tied to your account, such as session records, are kept while your account is active.)
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual’s vital interest, such as to prevent harm.
  • To create and manage user accounts. We use your Google account details (name, email, account ID and profile picture) to create your account and sign you in. We use session cookies to keep you signed in securely. You can edit your name, username and profile photo in account settings. (Retention period: For as long as your account is active. Sign-in sessions expire after 30 days without use.)
  • To connect and analyze your data sources. When you choose to connect Google Sheets, we access your spreadsheets and Drive files read-only, and only to load the data you pick into your workspace. We also process Parquet files you upload. We never modify your Google data. (Retention period: Data you load is kept until you delete it or your account is closed. Disconnecting a Google account deletes our stored Google access tokens; the connected account's email address and Google account ID stay with your account until it is closed.)
  • To let you share content you choose to share. We use your username, name and profile photo to show an optional public profile, and to create share links to saved views that you control. (Retention period: Until you revoke the share link, it expires, or you turn off your public profile.)
  • To keep billing records and resolve payment issues. We keep subscription and transaction records that our payment processor (Paddle) sends us, such as plan, amount, status and payment method summary. (Retention period: For as long as your account is active, then up to 7 years for tax and accounting purposes.)
  • To keep the service reliable and fix errors. We collect server logs and diagnostic information, such as requested URLs, error messages, timestamps, device type and IP address. (Retention period: Up to 90 days.)

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

If you are located in the EU or UK, this section applies to you.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

  • Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time. Learn more about withdrawing your consent.
  • Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
  • Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
    • Diagnose problems and/or prevent fraudulent activities
    • …reconcile subscriptions with our payment processor, investigate failed or disputed payments, and keep accurate account records.
    • …monitor performance, find and fix bugs, and keep the service secure and available.
  • Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
  • Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

If you are located in Canada, this section applies to you.

We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.

In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:

  • If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
  • For investigations and fraud detection and prevention
  • For business transactions provided certain conditions are met
  • If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
  • For identifying injured, ill, or deceased persons and communicating with next of kin
  • If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
  • If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
  • If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
  • If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
  • If the collection is solely for journalistic, artistic, or literary purposes
  • If the information is publicly available and is specified by the regulations
  • We may disclose de-identified information for approved research or statistics projects, subject to ethics oversight and confidentiality commitments

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We may share information in specific situations described in this section and/or with the following third parties.

Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work.

The third parties we may share personal information with are as follows:

  • Allow Users to Connect to Their Third-Party Accounts

    Google account

  • Data Backup and Security

    Cloudflare R2

  • Functionality and Infrastructure Optimization

    Cloudflare

  • Invoice and Billing

    Paddle

  • User Account Registration and Authentication

Google Sign-In and Google OAuth 2.0

We also may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We use only the cookies needed to keep you signed in securely.

We use a small number of strictly necessary cookies: one that keeps you signed in for a short time, one that lets us renew your sign-in (it expires after 30 days), and a short-lived cookie that protects the Google sign-in process. Our app may also keep temporary data in your browser's session storage to load pages faster; it is cleared when you close the tab.

We do not use analytics, advertising or social media cookies, web beacons or tracking pixels, and we do not allow third parties to track you on our Services. When you check out, our payment processor Paddle may set its own cookies in its checkout, as described in Paddle's privacy policy.

Because these cookies are needed for the Services to work, they can't be switched off in our Services. You can block or delete cookies in your browser settings, but you won't be able to sign in without them.

6. HOW DO WE HANDLE YOUR SOCIAL LOGINS?

In Short: You sign in to our Services with your Google account, so we receive certain information about you from Google.

Our Services let you register and log in using your Google account. When you do, Google shares your name, email address, Google account ID and profile picture with us, as shown on Google's consent screen. We do not receive your contacts or any other Google data through sign-in. Connecting Google Sheets is a separate, optional step described in "HOW DO WE PROCESS YOUR INFORMATION?".

We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by Google. We recommend that you review Google's privacy policy to understand how Google collects, uses, and shares your personal information, and how you can set your privacy preferences.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). If you are located in the EU or UK, see section "HOW DO WE PROCESS YOUR INFORMATION?" for our retention periods by purpose.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

8. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

9. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction.

We do not knowingly collect, solicit data from, or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or the equivalent age as specified by law in your jurisdiction or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services. If we learn that personal information from users less than 18 years of age or the equivalent age as specified by law in your jurisdiction has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18 or the equivalent age as specified by law in your jurisdiction, please contact us at admin@hipsift.com.

10. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the UK and are unhappy with how we have handled your personal information, you can make a complaint directly to us. This is in addition to the rights you have under the UK General Data Protection Regulation and the Data Protection Act 2018.

How to contact us:

What happens after you complain

  • We will acknowledge your complaint within 30 days of receiving it.
  • We will investigate without unjustifiable or excessive delay.
  • We will keep you informed of progress and explain the outcome.

If you are not happy with our final response, you can refer your complaint to the Information Commissioner's Office, the UK supervisory authority.

  • Website: ico.org.uk/make-a-complaint
  • Helpline: 0303 123 1113
  • Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can:

  • Log in to your account settings and update your user account.
  • To close your account, email us at admin@hipsift.com from the email address on your account.

When you ask us to close your account, we cancel any active subscription and delete your account and the information associated with it within 30 days. We may keep limited information where needed to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms or comply with legal requirements, and server logs expire on their normal schedule. Paddle, as Merchant of Record, keeps its own records of your purchases.

Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

If you have questions or comments about your privacy rights, you may email us at admin@hipsift.com.

11. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

12. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. 14. USE OF GOOGLE USER DATA

HipSift uses Google APIs in two ways. When you sign in with Google, we receive your name, email address, profile picture and Google account ID, and use them only to create and manage your account. If you choose to connect Google Sheets, we request read-only access to your Google Sheets and Google Drive files so that you can select spreadsheets and load their data into your HipSift workspace for analysis. We never modify, delete or create files in your Google account. We use Google user data only to provide and improve the features you use in HipSift. We do not sell Google user data, use it for advertising, or use it to train generalised artificial intelligence or machine learning models. We do not allow humans to read Google user data unless you give us permission, it is needed for security purposes or to comply with law, or it has been aggregated and anonymised. We share Google user data only with service providers that help us run HipSift, such as our hosting provider Cloudflare, and only as needed to provide the service. Google access tokens are stored securely and deleted when you disconnect the connection in HipSift. You can also revoke HipSift's access at any time at https://myaccount.google.com/permissions. HipSift's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

15. CONTENT AND DATA YOU UPLOAD

This content may include personal information about other people. We process this content only on your behalf and according to your instructions, to provide the service to you. You are responsible for making sure you have the right to upload and process this data, including any required notices or legal basis, and you should not upload sensitive personal information unless you are legally permitted to do so. We do not use your content for our own purposes, such as marketing or profiling. You can delete your content at any time, and it is deleted within 30 days after your account is closed.
